Administrative Officer

Really Local is looking for someone to fill the position of Administrative Officer.

The ideal candidate has a dynamic personality and is an autonomous person who knows how to take initiative. The Administrative Officer will provide administrative, financial management, and information management services. This person will be responsible for assisting the Public Markets Coordinator and the Market Manager in managing various administrative tasks, as well as all Account Management and Accounts Receivable management tasks for Really Local Harvest as well as for the markets managed by Really Local. The Administrative Officer will take appropriate action to recover arrears and past due accounts and will follow up on the various payment arrangements with members and merchants. The Administrative Officer will be under the supervision of the Public Markets Coordinator.

Really Local Harvest is a cooperative of 25 farmers in the southeast New Brunswick. Our members work hard to offer authentic, local, fresh, healthy and tasty produce.

Our Mission: To promote the development of sustainable agriculture in southeastern New Brunswick.

Really Local Harvest also manages the Dieppe Market.


Main duties

  • Help with the daily tasks of the management team;

  • Receive payments from members and merchants, keep an up-to-date record of this data and do the necessary follow-ups;

  • Track, maintain and rank members’ and merchants' records and updates them;

  • Responsible for billing, accounts payable and receivable and financial transactions in the books;

  • Calculate, prepare and issue account-related documents, such as invoices, statements and other financial statements;

  • Prepare monthly financial reports

  • Locate merchants and members who have late payments.

  • Assure the recovery of debts: make payment reminders to members and late merchants. Try to understand the reasons for the delay and get a quick payment.

  • Negotiate payment agreements: in the event of serious difficulties (in particular when filing for bankruptcy or over-indebtedness), Try to find an arrangement adapted to the situation and the possibilities of the interlocutor.

  • Preserve the customer relationship;

  • Any other related tasks.


Knowledge and skills

  • Fluent with Google suite (Docs, Sheets, Calendar etc)

  • Fluency with online platforms such as Slack, Airtable, Quickbooks will be considered an asset.

  • Bookkeeping skills or financial management an asset

  • Strong organizational skills and excellent coordination skills with attention to detail

  • Excellent ability to communicate both orally and in writing in both official languages

  • Interpersonal skills, tact, diplomacy and discretion

  • Judgment, initiative, demonstrated ability to work under pressure

  • Ability to adapt to change, multitask and prioritize

  • Ability to understand budgets and financial reports

  • Excellent customer approach;

  • Bilingualism required.


Studies and experience

  • Diploma from a college program or experience and equivalent qualifications

Temporary position for 6 months (possibility of extension)

Schedule: 30 hours / week.

Salary: $ 14 / hour
